What this skill does
Freelancers, consultants, and agency owners switch between five to twenty active clients on any given week. The context for each one — what they like, who approves what, what got pushed back on last quarter, which feedback style they prefer — lives in scattered email threads, half-remembered Slack messages, and the part of your brain that doesn't fire until Tuesday morning. The cost of that context switch is real and quietly enormous. This skill replaces the scatter with one file per client.
The vault structure covers six domains in priority order. Client Identity (company, contact, communication preference, stakeholder map). Engagement Details (scope, contract type, billing, status). Client Preferences and Style (communication formality, decision speed, feedback style, the pet peeves and what impresses them). Business Context (their goals, their customers, their competitors, the internal politics that affect your work). Work History (projects completed with outcomes, friction logged). Relationship Intelligence (upsell opportunities, referral status, risk signals, the personal notes that only matter if they were naturally shared).
Quick-start mode exists for the common case — you don't have time for a full interview, so the skill builds a skeleton from whatever you have and marks the gaps with [TBD]. A partial vault with company name, scope, and primary contact is infinitely better than no vault. The remaining sections fill in over time as work happens. Updates are deliberately fast: a quick brain-dump after a call — "call with Sarah, she's happy with phase 1, wants phase 2 next week, budget TBD" — gets slotted into the right sections without re-running the interview.
The Relationship Health field is the part most CRMs miss. Green is regular contact, on-time payments, recent positive feedback. Yellow is communication slowing, minor friction unresolved, scope unchanged for two quarters. Red is missed payments, ghosting, scope shrinking, or explicit dissatisfaction. The category is a leading indicator — by the time a client churns, the warning signs were there months earlier, and an explicit field forces you to notice them.
Every 90 days, a quarterly vault review pulls every active file into a single summary: which clients are stale, which upsells are open, which risk signals are accumulating, who's healthy enough to ask for a testimonial or referral. The review is the part that turns the vault from a notes folder into a system. Without it, the files become archaeology. With it, every quarter starts with a structured read of the entire client base in 15 minutes.
