Client Accountability System
Coaching sessions are the catalyst; between-session work is where change happens. Client Accountability System builds the check-in cadence, tracking format, and follow-up workflow that keeps clients engaged without turning the coach into a surveillance app — and without pretending to be clinical care.
What this skill does
Scope first. This is a coaching ops system, not clinical care. It supports behaviour change for coaching clients — habit tracking, between-session check-ins, accountability scripts. It does not diagnose, does not treat, and does not replace a dietitian, clinician, therapist, or doctor for any client whose situation needs one. If a check-in surfaces something outside coaching scope — disordered eating patterns, severe distress, a medical complication — the coach refers out. The skill builds the referral step into the workflow.
Inside that scope it does four things. First, a check-in framework matched to session frequency — weekly sessions get a mid-week check-in, biweekly add an end-of-week reflection, monthly add a bi-weekly voice note. Each check-in is answerable in two minutes or it gets abandoned. Second, a tracking system with three levels — minimal (one habit, Y/N daily, for beginners), standard (3-5 metrics in a simple table, for engaged clients), detailed (full app-based logging, only for clients who ask for it). The skill defaults to Level 1 and refuses to over-tool a beginner.
Third, a coach workflow the user can actually run. 30 minutes a week across 10 clients, broken into Monday reminders, mid-week check-in reviews using a response template, Friday follow-ups for non-responders ("hey, didn't hear from you — everything okay?"), and a five-minute pre-session review. Plus a non-response protocol — gentle in week one, direct in week two, honest conversation about fit in week three. Non-response is information, not personal failure.
Fourth, accountability scripts for the conversations coaches don't know how to have. Client didn't do the homework. Client consistently underperforms. Client makes excuses. Client is crushing it (and you want to make sure they see it). Each script redirects to ownership without judgement and without pretending the slip didn't happen. The skill is opinionated about a few things: track behaviour not just outcomes (behaviour is controllable, weight isn't), celebrate consistency over perfection, and review the system every 4-6 weeks — if completion drops below 50% or check-ins feel forced, simplify rather than push harder.
When this triggers
- ·Your clients turn up for sessions but don't do what they committed to between them
- ·You've tried daily tracking spreadsheets and clients abandon them after four days
- ·You're chasing check-ins manually and want a workflow you can run across 10+ clients in 30 minutes a week
- ·You don't know what to say when a client has gone quiet for two weeks
- ·You're moving from 1:1 to a group programme and need peer-to-peer accountability instead of coach-to-client
Example
Trigger
User: 'I run weekly 1:1 nutrition coaching. 12 active clients. Half of them ghost mid-week and turn up to sessions without doing the homework. Build me a system.'
Output
This is a coaching ops system, not clinical care. It supports behaviour change — it doesn't diagnose or prescribe. MID-WEEK CHECK-IN (Wed, client-initiated, 2 min to complete): 1. Commitments — done / in progress / not started 2. One win this week 3. One block — anything you need from me? 4. Energy 1-10 5. Meals hitting your protein target this week: __ / 21 COACH RESPONSE (1-2 min per client, template-driven): Acknowledge the win (specific). Address the block (one suggestion). Encourage on commitments or redirect. See you Friday. TRACKING LEVEL: start at Level 1 (one habit, Y/N daily). Escalate only when the client asks for more. WEEKLY WORKFLOW (30 min for 12 clients): Mon — focus reminders. Wed/Thu — review check-ins. Fri — chase non-responders ("no judgement, life happens"). Pre-session — 5 min review, identify 1 acknowledgement + 1 question. Non-response protocol: gentle, then direct, then honest conversation about fit.
